We are seeking a Board Administrator to be based in our Sydney CBD office in a permanent, full-time capacity. Reporting to the Company Secretariat Manager, this role is critical to the Company Secretariat team.
This role will be responsible for supporting the General Counsel and appointed Company Secretaries of the Avant Group to deliver professional efficient board and board committee meetings, provide exceptional Director administrative support and proactively work as a key member of the Company Secretariat team.
This role is broad, varied and will provide end-to-end support such as managing the logistics and administration for Board, Board Committee and management meetings, managing the Company Secretariat inbox and calendar of events, providing technology and office support for the Directors of the Avant Group.

 

About our role:

  • Supporting the Boards, Board Committees and Enterprise Management Committees, including undertaking and uploading meeting papers to Avant’s Board portal.
  • Manage the full coordination of the Board meetings including calendar management, scheduling meetings, and organising meeting agendas. Board room set up, catering and other ad hoc items. 
  • Manage travel arrangements for the Director including travel and accommodation and expense management. 
  • Liaise with the Group IT team in providing technological support for meetings.
  • Assist with managing and scheduling Board, Board Committee, Enterprise Management Committees and Annual General Meetings.
  • Assist with maintenance of corporate registers, including preparing and lodging regulatory forms.
  • File and retrieve corporate records, documents, and reports.
  • Assist in digitising company secretary procedures.
  • Process invoices and reimbursement for directors.
  • Update internal websites.
  • Other executive administration responsibilities as required.
  • This role will also be required to travel interstate for meetings on an adhoc basis throughout the year. 

 

To be successful in this role you will have:

  • Self-motivated, adaptable and detail-oriented administrator with previous experience in supporting Boards and/or Board Committees and/or C-suite executives.
  • Understanding the fundamentals and importance of corporate governance, including the role of the Board, Directors and the Executive.
  • A balanced skill set, exceptional organisational, interpersonal and time management skills with a demonstrated ability to plan, multitask and manage competing priorities in a dynamic and fast paced environment.
  • Have a ‘can do’ attitude and present professionally.
  • Well presented, with excellent written and exceptional verbal communication skills with the ability to effectively engage with stakeholders at all levels, including executive, C-suite and Board, both internally and externally
  • Ability to handle confidential information.
