As an Executive Assistant you will be a valuable member of a dynamic collaborative and supportive team, providing executive support to our Chief People Officer (CPO). This is a permanent, full time opportunity based in our Darling Park, Sydney CBD offices.

To be successful in this role, you will have the ability to work independently in a fast-paced environment with extensive experience supporting at the group executive or c suite level.


Key responsibilities for this role include:

 

  • Providing efficient and varied executive and administration support while preserving confidentiality and professionalism;
  • Proactively manage the CPO’s mailbox and calendar, prioritising emails, flagging urgent matters, and responding on their behalf where appropriate. Run interference by filtering out non-essential inquiries and ensuring critical communications are handled promptly and efficiently.
  • Handle sensitive and confidential information, ensuring that all People & Culture related data, including employee records, contracts, or organisation strategies, are securely managed and only accessible to authorised personnel.
  • Responding proactively to changing circumstances and competing priorities within strict deadlines;
  • Coordinating meetings, preparing agendas and drafting minutes, tracking and follow up of action items;
  • Organise travel and accommodation.
  • Collate invoices, prepare monthly expense reports for CPO.
  • Coordinating internal communications;
  • Organise team events and social activities such as monthly birthday celebrations, team lunches and dinners, off-sites, catering and venue hire as required.
  • Keeping the intranet up to date for the division or as requested.
  • Undertake any other administrative or support activities as required.
  • Providing support to wider senior leadership team as required including assistance on strategic projects.

 

The successful applicant will have:

 

  • Demonstrated experience as an Executive Assistant at a senior executive/ group executive or c suite level;
  • Strong organisation and coordination skills with the ability to multi-task and to meet deadlines;
  • Excellent administrative skills with strong attention to accuracy and detail;
  • Professional, calm, and ‘can-do’ approach to everything they do;
  • Demonstrated success in working collaboratively;
  • Excellent communication skills, with the ability to communicate at all levels;
  • Fast and accurate typing skills with an advanced knowledge of Microsoft Office
  • People person who contributes to workplace culture
  • Resilient and adaptable to fast-pace environment
  • Proactive self-starter who takes initiative
  • Ability to stay calm while working under pressure
  • Strong multi-tasking and organisational skills
